Vantage — Privacy Policy

This Privacy Policy explains how Vantage ("Vantage", "we", "us", "our") collects,
uses, and protects your personal information when you use the Vantage mobile app and related
services (the "Service").
Operator details: Vantage is operated by Empire Structural LTD, a company registered in
England & Wales (company no. 11686452), registered office 27 Blackstone Drive, Worksop,
S81 8FE, United Kingdom.
Empire Structural LTD is the data controller for the personal information described in this policy.

1. Who Vantage is for
Vantage is a remote-oversight tool. It connects an owner (often living abroad) who funds and
oversees a project with the field worker(s) on the ground who carry out and report the daily
work. Verticals currently include livestock ("herd") and property/construction ("build").
The Service is intended for adults (18 or over). It is not directed at children, and we do not
knowingly collect data from anyone under 18.
2. Information we collect
2.1 Information you give us
- Account details: your email address and password (or, if you choose Google sign-in, the basic
profile information Google shares with us). We also store your name, your country / place of
residence, whether you live abroad, and your language preference.
- Project details: the project name, its location / region, herd size or build details
(including single- or double-storey), and the roles of the people you invite or join.
- Daily oversight content that you or your field worker create:
- Check-in / check-out records, including a photo, a headcount (livestock), the
time, and "is the site/herd secure / is someone there" safety answers.
- Work logs — free text plus photos describing what was done (e.g. feeding, health checks,
veterinary visits, build progress, materials, council/professional visits, problems).
- Herd-health reports (counts of animals in good / fair / watch condition, plus notes).
- Money records — amounts you record as sent or received, expense amounts and
categories, and optional or required receipt photos. (See the important note in section 7.)
2.2 Information we collect automatically
- Location (GPS) at check-in. When a field worker checks in or out, and only if location
permission is granted, the app records the device's GPS coordinates and accuracy at that
moment. This is used as proof the worker was physically at the site and to show the owner the
distance from the site. Capturing location is best-effort — if permission is declined or there
is no signal, the check-in still works without coordinates. The site location is anchored
automatically from the first check-in that includes coordinates.
- Push notification token. If you enable notifications, we store the push token issued for your
device and the device platform (Android/iOS) so we can deliver alerts.
- Basic technical/usage data needed to operate the app (e.g. authentication session data).
2.3 Information we do not collect
- We do not collect your fingerprint or face data. Biometric unlock (fingerprint / Face ID) is
handled entirely by your device's operating system; your biometrics never leave your device and
are never sent to us.
- We do not sell your personal information.

4. Photos and how long we keep things (retention)
- Check-in / check-out photos rotate automatically — when a new check-in or check-out photo is
saved, the previous one is deleted, so we only ever keep the most recent presence photo per project.
- Work-log photos, receipt photos, and the records themselves are kept as the ongoing oversight
record for as long as the project is active, because that history is the core value of the Service
to the owner.
- Account information is kept while your account is active. If you delete your account, we delete
or anonymise your personal data within a reasonable period, except where we must keep limited
records to meet legal, accounting, or fraud-prevention obligations.
- Photos are stored in private storage and are only accessible through short-lived signed links to
members of the relevant project. The app also caches photos locally on your device so they load
quickly and can be saved to your gallery if you choose.
You can request deletion of your data at any time (see section 9).
5. Who we share information with
We share data only with service providers ("processors") that help us run the Service, and only as
needed:
- Supabase — our database, authentication, and file storage provider. Your account data, project
data, logs, and photos are hosted here.
- Expo (push notification delivery) — when we send you an alert, the notification's title, body,
and the related project reference are sent to the Expo push service for delivery to your device.
- Google — only if you choose "Continue with Google" to sign in.
- Apple App Store / Google Play — process subscription payments. We do not receive or store
your full card details; the app store handles payment and shares only limited billing status with us.
We may also disclose information if required by law, to protect our rights, or in connection with a
business transfer. We do not sell your personal information or share it for advertising.
6. International transfers
Some of our processors store or process data outside the United Kingdom. Where personal data is
transferred outside the UK, we rely on appropriate safeguards (such as UK adequacy regulations or the
International Data Transfer Agreement / Standard Contractual Clauses) to protect it.
7. Important note about "money" features
Vantage is not a bank, payment processor, money-transfer service, or escrow service. The "money
sent / received / spent" entries and receipts are simply a record that you and your worker create
about transactions that happen outside the app. Vantage never holds, moves, or transfers your
money, and we cannot verify that the amounts or receipts entered are accurate. These records exist to
help owners and workers keep a shared, transparent log.
8. How we protect your information
We use access controls so that project data and photos are only available to members of that project,
private file storage with expiring links, encrypted connections, and authentication managed by our
provider. Optional biometric/device-passcode lock adds a further layer on your device. No system is
perfectly secure, but we take reasonable measures to protect your information.
9. Your rights
Under UK data protection law you have the right to:
- access the personal data we hold about you;
- request correction of inaccurate data;
- request erasure ("right to be forgotten");
- restrict or object to certain processing;
- request portability of data you provided to us;
- withdraw consent at any time (e.g. by turning off location or notification permissions in your
device settings), without affecting processing carried out before withdrawal.
To exercise any of these rights, email vantage.feedback.info@gmail.com. We will respond within the
time limits required by law (normally one month).
If you are unhappy with how we handle your data, you can complain to the UK Information
Commissioner's Office (ICO) at ico.org.uk. We'd appreciate the chance to
resolve concerns first.
If you are in Zimbabwe: we also handle your personal data in line with Zimbabwe's Cyber and
Data Protection Act [Chapter 12:07]. You have similar rights over your data (including access,
correction, and deletion). You can raise any concern with us at vantage.feedback.info@gmail.com,
or with Zimbabwe's data-protection authority, POTRAZ (the Postal and Telecommunications
Regulatory Authority of Zimbabwe).
10. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the
"Last updated" date and, where appropriate, notify you in the app. Your continued use of the Service
after changes take effect means you accept the updated policy.
